Operations Executive - Job Description
 
An opportunity has arisen for an Operations Executive to join this growing Project Management & Manpower company to assist the Operations Team &  Country Director on a day to day basis in a range of areas including administrative, reconciliation, logistics and procurement. We are looking for a responsible Operations Executive to perform a variety of administrative and clerical tasks. Duties will include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.This role has a wide remit in which the Operations Executive will play in a role in assisting a number of areas within the organisation. Ultimately, a successful Operations Executive should ensure the efficient and smooth day-to-day operation of our office.
 
Responsibilities:
 
Administrative 
  • Answer and direct phone calls.
  • Organize and schedule appointments.
  • Plan meetings and take detailed minutes.
  • Write and distribute email, correspondence memos, letters, faxes and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a filing system.
  • Update and maintain office policies and procedures.
  • Order office supplies and research new deals and suppliers.
  • Maintain contact lists.
  • Book travel arrangements.
  • Submit and reconcile expense reports.
  • Provide general support to visitors.
  • Act as the point of contact for internal and external clients.
 
Logistics
  • To monitor and follow up on Purchase Orders issued and liaise with vendors, for timely and orderly deliveries.
  • To interface with Operations and Technical Department to ensure smooth logistics chain management.
  • Any other associated tasks and responsibilities assigned from time to time.
 
Requirements
  • Bachelor's Degree in a relevant disicpline.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • Excellent with Microsoft Office Applications (Word, Excel, PowerPoint).
  • Good Math Skills tied in with Excel would be beneficial in this role.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem solving skills.
  • Excellent written and verbal communication skills, advanced level of English both spoken and written.
  • Ability to work in a dynamic and fast paced environment and to meet critical deadlines.
  • Ability to facilitate discussions and meetings.
  • Ability to multi-task and willing to take on wider job portfolio for career development.
  • Required to be a team player who is committed and meticulous.
  • Self motivated, highly organized, able to work independently and under pressure.
  • Preferably Junior Executive specialized in Logistics/Operations or equivalent.
