Our client is an International law firm. 
 
Required
5 years’ previous experience in a secretarial role within a professional environment is required.
 
Experience
• Good technical knowledge – Ms Word, Ms PowerPoint and Ms Excel.
• Clear and Professional in both written and verbal communication.
• Highly organised and able to assist others.
• Skilled in prioritising multiple tasks and able to remain calm under pressure.
• Accurate, with high level of attention to detail.
. Liaise with chinese speaking clients
 
 
Business Development
Key Activities
• Arranging and co-ordinating meetings and events.
• Collecting and analysing data to prepare reports and documents.
• Creating and amending agendas, pitches and credentials statements.
• Drafting and updating marketing materials.
 

Main responsibilities:
To provide skilled administrative and secretarial support to an assigned group of lawyers and BD Managers. The legal/BD secretary works as part of the team, proactively assisting the Group in order to meet deadlines or share workload.
 
Client Service
• Proactively manage and maintain diary planning , making appointments and co-ordinating internal and external client 
   meetings.
• Travel management, booking transport, hotels, client meetings and producing itineraries.
• Coordinating business development and client liaison initiatives.
• Proactively dealing with all aspects of claiming expenses.
• Liaising with the Firm's clients in a confident and professional manner.
• Dealing professionally and promptly with client (internal and external) telephone calls and communications.
Technical and Organisational Skills
• Preparing bills, preparation of narratives and drafting first bills with covering correspondence. 
• Providing secretarial assistance to assigned fee-earners, which includes audio typing, copy typing, formatting
  documents, creating correspondence, pitches and presentations.   
• Coordinating the opening of new client matters.
 
Personal Effectiveness and Teamworking
• Working closely within the secretarial team to provide general support to the Group.
• Enthusiastic, can-do, positive approach to tasks and situations.
• Remains calm and focussed under pressure.
• Ability to take personal responsibility, ownership and behave responsibly.
• Friendly, co-operative and approachable and all times.
• Listening carefully to instructions and questioning intelligently to ensure you have all the information required to
  undertake a task.
